SMS Privacy Policy

This SMS Privacy Policy explains how Crown Point High School and its operator, Educational Options Foundation (collectively, “the School,” “we,” “us,” or “our”), collect, use, disclose, retain, and protect information associated with the Crown Point High School Alerts text messaging program.
This policy supplements our general privacy notice and applies specifically to SMS and MMS communications.
1. Information We Collect
When you enroll in or interact with the text messaging program, we may collect:
- Your mobile telephone number;
- Your name and your relationship to the student, when provided;
- Consent records, including the opt-in method, date and time, form or disclosure version, and related technical records;
- Messages you send to us, including HELP, STOP, START, and other replies;
- Message metadata, such as delivery status, date, time, and carrier information;
- Student or school-related information needed to provide the message you requested or authorized, subject to applicable education privacy laws.
2. How We Use SMS Information
We use information associated with the program to:
- Send school-related alerts and updates about attendance, absences, academics, enrollment, schedules, appointments, deadlines, events, closures, safety, and student support;
- Confirm and document consent;
- Process opt-out, help, and preference requests;
- Operate, secure, monitor, troubleshoot, and improve the messaging program;
- Comply with legal, regulatory, carrier, recordkeeping, and school obligations;
- Protect students, families, staff, the School, and the public.
The program is intended for informational school communications, not third-party marketing or promotional messages.
3. Mobile Information and Consent Are Not Shared for Marketing
We do not sell, rent, or share your mobile telephone number or SMS opt-in information with third parties or affiliates for their marketing or promotional purposes.
All the above categories exclude text messaging originator opt-in data and consent; this information won’t be shared with any third parties.
We may use service providers that process mobile numbers and messaging data solely to help us operate the program, deliver messages, provide customer support, prevent fraud or abuse, maintain security, or comply with law. These providers are not authorized to use SMS opt-in data for their own marketing or promotional purposes.
We may also disclose information when required by law or when reasonably necessary to protect health, safety, rights, or property. These limited operational or legal disclosures do not permit the recipient to use your SMS consent for unrelated marketing.
4. Message Frequency and Charges
Message frequency varies. The number of messages depends on attendance, academic, enrollment, scheduling, safety, and other school-related circumstances.
Message and data rates may apply. Your wireless carrier’s rates and terms govern any charges associated with sending or receiving messages.
5. Your Choices
Reply STOP to opt out. After opting out, you may receive one final message confirming your request. You will not receive further SMS messages from this program unless you opt in again. The School may continue contacting you through other permitted methods.
Reply HELP for help or call 623-845-0781. Where supported, you may reply START to opt in again after previously opting out.
SMS consent is voluntary and is not a condition of enrollment, receiving educational services, or obtaining other services from the School.
6. Student Records
Some SMS information may be part of a student’s education record. The School handles education records in accordance with the Family Educational Rights and Privacy Act (FERPA), applicable Arizona law, and School policies. Text messages should not be used to submit highly sensitive information unless the School specifically instructs you to do so through an approved secure method.
7. Security and Retention
We use reasonable administrative, technical, and physical safeguards designed to protect messaging information. No transmission or storage system can guarantee absolute security.
We retain SMS consent records, message logs, and related information for as long as reasonably necessary to operate the program, document consent and opt-out requests, maintain required school records, resolve disputes, protect safety and security, and satisfy legal or regulatory obligations. When information is no longer needed, we take reasonable steps to delete, de-identify, or securely dispose of it.
8. Changes to This Policy
We may update this policy to reflect changes in the program, our practices, or applicable requirements. We will post the updated policy at this location and revise the effective date above. When required, we will provide additional notice or obtain new consent.
